The Facilitator Dashboard allows Trainers to actively facilitate classes.



Selecting the class

Click the dropdown to select from available active classes.

Only classes within the current date range are shown.

Once selected, some details of the class are shown including:

  • The number of assigned Students
  • The number of currently active Students
  • The content assigned to the Class


Students

The Students section displays various information about the students in the class depending on the settings.  The "Facilitator" entry is used for communication directly between multiple Facilitators and is described later in this document.

Compact 

The default configuration is to show a compact view of all active students, and the Facilitator

The green bar shows each student's progress through their current lesson.

The small image is the current view of the student's screen.

Active Only

Turning off the "Active Only" option

causes all assigned students to show.

The inactive students do not show status, and any clicks on them are ignored.

The search bar performs a case-insensitive filter of students by name and email address


Non Compact

Turning off the Compact mode shows live detail summary for all students 

This view includes both the content view and the student view (when available).

By default all students show in a single row which can be accessed by scrolling left and right


Multi Row

Turning off Single Row will show all students in the non-compact form.


Student Card

In the non-compact mode, each student in the class has a card and it contains the following data:

(1) Student Name shows the full name of the student.  Hover the mouse to see the email address.

(2) Progress bar shows progress through the current lesson.  It begins as full grey and fills in with green with progress.  Hover the mouse to see the numeric % completion

(3) Mode shows various entries based on the state of the system.  Some examples include, but are limited to:

  • Idle - The student is at the Content Launcher screen
  • Launching - Some content is being loaded
  • Running - Content is running but a lesson has not been selected
  • Stopped - Content has shutdown
  • Practice - A lesson is running in practice mode
  • Assessment - A lesson is running in assessment mode

(4) Content shows the content the student is running.  If blank, they haven't chosen content from the launcher yet.

(5) Current Lesson shows what lesson the student is running.  It will be blank if a lesson hasn't started a lesson yet.

(6) Elapsed Time is the time that the current lesson has been active.  It will be blank if a lesson hasn't started, or has just started.

(7) Active Thumbnail shows a view of what the student can currently see.  Updates approximately every 10 seconds.

(8) Connected is the time since the student logged into the system. 

(9) Country shows the country in which the student is located.  This is unrelated to the region in which the class is being hosted.  

(10) Dealer shows the dealer the student is associated with.

(11) Icon showing that this information is about the student


Details

When a Student is selected in the Students section, the details section shows details of the Student and allows for live communication with them.

This contains the same information as the Student Card above in larger form and also has four additional controls.


Student History

The Student History button shows the previous attempts and results for this student across all classes.

Text Chat

This allows the Facilitator to text chat directly with the student 

The Student's name is shown in blue.

If another Facilitator also sends a text chat to the student, it will appear with their name in red.

Instructor names are always shown as Initials.  Student's names are always shown in full.

If the Facilitator is not looking at a Student's detail when a text arrives, an indicator shows next to the student showing the number of unread messages.  This is automatically cleared when the Facilitator views the messages.


Voice Chat

Clicking the Voice Chat icon attempts to establish a voice chat over the computers.

The first time the Facilitator clicks the button, they will need to agree to allow the application to access their microphone.

When clicked, the Student will receive a popup message, 

If they accept it, and agree to allow the application to access their microphone, a voice connection will be established.  

The Facilitator will then see two new buttons in the lower left of the screen:

The top one allows for muting and unmuting the Facilitator's microphone.

The red icon will disconnect the voice chat.

During the voice chat, the Facilitator can go to other pages and view other students... the mute and hang-up buttons will remain available until the call is disconnected.

If the Student does not accept either the microphone or the Voice Chat offer, the call will be disconnected.


Show Live View

Clicking this replaces the slowly updating content view with a live streaming view.  This live view shows all actions of the student in real time.  


If the student ends their session, the detail view will automatically go away.


Facilitator "Student"

The Facilitator "Student" allows multiple facilitators to communicate with each other and to share a Cloud Streaming Session.

The chat messages are private from the students in the class.  They are only visible on this class-specific page.


Facilitator Streaming

General

A facilitator of a class can access the a class-specific cloud streaming session.  This session is very similar to a student's session, but with a few differences.

  • The facilitator session is not automatically recorded
  • The webcam is never recorded
  • Additional video controls are provided
  • The session is potentially shared if there are more than one facilitator for the specific class



Video Controls

After accessing the facilitator cloud streaming session, the facilitator has multiple video related options.

  • Live broadcast session to students in a class
  • Capture video of a session
  • Broadcast a previously recorded session

Details follow below...


Live Broadcast

To perform live broadcast from the streaming session, 

  1. Start the VMT content as usual and configure it to the starting state that you want to broadcast.

2. Use the "Switch windows" feature to switch back to the Content Launcher window


3. From the Class Facilitator Controls, choose Broadcast to Class

4. Upon selection, the view will immediately switch back to the VMT as the broadcast begins

5. The broadcast will continue to all students in the class until it is stopped by the Facilitator, or the content is exited.  When a broadcast starts, a popup will automatically appear on all the student's screen.  

The student can move the broadcast screen around and continue to interact with their VMT while it plays.

If they close the broadcast window, it will pop back up within a few seconds.

If they minimize the broadcast window, it will hide until a new broadcast is started.  They can unhide it with the "Switch Window" feature.

When the broadcast from the Facilitator stops, the window will automatically close.


6. As the Facilitator, to stop the broadcast before exiting, use the Switch Windows feature again, to get back to the Class Facilitator Controls

7. Click the "Broadcast to Class" button which will turn off the red light and stop the broadcast



Record Session

The Facilitator can record sessions for later playback. 

Recording a session follows the same pattern as Broadcast except there is a prompt for a file name.

Recording begins after entering a file name and pressing the Record button

Just like Broadcast, when recording begins, the screen will automatically switch back to the VMT.

To stop recording, switch back to the Class Facilitator Controls and click the illuminated Record Session button.

Recording will also stop if the VMT is exited. 


Broadcasting a previously recorded Session

To broadcast a previously recorded Session, launch the Video Broadcaster.  Note that this is only available to Facilitators, not Students.

The Video Broadcaster will list all videos available in this classes' market.  They are grouped by which content they recorded.

Note

If you recently recorded a video, note that it takes time to be processed before it will appear in this list.  The longer the recording, the longer it can take to be ready to play.

If a new video doesn't yet appear here, you can wait and then click the Refresh button to check if it is available.

To begin broadcasting select the file and click the "Broadcast to Class" button.

After a few seconds the "Broadcast from Class Facilitator" will appear showing the requested video.  This is the same view that the Students in the class will see.

To stop the video early, click the Stop Broadcast button.

If not stopped early, the video will automatically stop at the end and the "Broadcast from Class Facilitator" window will automatically close (after a few seconds).


Facilitator Shared Streaming

Each class allows one and only one streaming session.  If there are more than one Facilitators logged into the Virtual Classroom in the same classroom they can see what the other facilitator is doing on the Facilitator screen.

If a second facilitator also accesses the Facilitator Streaming session, they will both be sharing the session as if they are both sitting in front of the same computer.  They will both be able to use the mouse and keyboard in the same session.

This can be a surprising if a Facilitator is not expecting it, however it does allow for seamlessly switching between Facilitators within a class.

The text chat can be used to coordinate access since it goes to all of the same Facilitators that can access the session.
